Processing New Hire Data Exchanges at Redeterminations Only for All Programs of Assistance |
EFFECTIVE DATE: |
August 1, 2005 |
SUMMARY
This SR releases a change in procedure for processing New Hire Data Exchanges for all programs of assistance. As a timesaving initiative, New Hire Data Exchanges will be acted upon at redeterminations only.
FORMER PROCEDURE |
NEW PROCEDURE |
Family Services Specialists (FSS) had to access and verify New Hire Data Exchange information when alerted by New HEIGHTS via the Worker Dashboard. |
Family Services Specialists (FSS) must access and, if necessary, verify New Hire Data Exchange information at redeterminations only. |
PROCEDURE
Effective August 1, 2005, it is no longer necessary to access and verify New Hire Data Exchange information throughout the recipient's eligibility period. New Hire Data Exchange information, for all programs of assistance, will require action at redeterminations only.
Because action on New Hire information will only be required at redeterminations, New HEIGHTS will no longer post New Hire matches to the Worker Dashboard. Therefore, at each redetermination Family Services Specialists must review and verify all employment matches that occurred during the most current redetermination period, as follows:
· Go to Data Exchange and open the "NHES New Hire" screen.
· In the "Parameters" box, select "Case" as the type and enter the case number.
· Enter the "Begin" and "End" dates for the corresponding redetermination period, 6 or 12 months, entering the current date as the "End" date.
· Click "OK."
· Use current procedures to act on and dispose of the New Hire Data Exchanges.
· Document in case comments that the New Hire Exchange Data was reviewed and, if necessary, acted upon.
SYSTEMS CHANGES
Effective August 1, 2005, the New Hire Data Exchange due and overdue counts will be removed from the Worker Dashboard.
